Executive Assistant

Responsibilities include, but are not limited to: 

  • Provide Administrative support to KIG executives and Client Advisors 
  • Communicate professionally with clients, coworkers, and vendors, via phone, email and in person 
  • Make travel plans and schedule appointments for KIG executives 
  • Welcome visitors to our office and make sure they are comfortable 
  • Prepare for in-house client/staff meetings 
  • Maintain and order office supplies 
  • Sort and prepare incoming and outgoing mail 
  • Manage mail merge and mass mailing efforts 
  • Answer phones, transfer calls and take the occasional message 
  • Maintain data, documentation of processes and various types of computer work 
  • Use office equipment including copier/scanner/fax 
  • Maintain organization of filing system 
  • Coordinate with outside vendors including maintenance, cleaning and IT 
  • Review and maintain office procedures 
  • Maintain office schedule/calendar 
  • Support marketing efforts such as trade show and event planning, mass mailings and social media marketing 
  • Maintain kitchen and office appearance 
  • And many other tasks specific to keeping our business running smoothly

  • Coachable - recognizes there might be another way to do something and happily accepts and implements those tips 
  • Efficient - always looking for a way to improve on a system or process 
  • Eager - has a desire to learn, succeed, and grow 
  • Flexible - can change course when needed to without being flustered  
  • Confident – is completely comfortable talking to clients and working with all levels of individuals including CEO’s, business owners and executives 
  • Passion - we want you to love what you do, and we don't want to have to check you for a pulse 

Qualifications: 

  • Office and/or administrative experience 
  • Excellent verbal and written communication skills (whether on the phone, in person or via email) 
  • Proficient user of Microsoft Office Suite, the Internet, and email 
  • Ability to learn client relationship management (CRM) software 
  • Must be a motivated, self-starting team player that gets along well with others 
  • Can take direction well and work independently for periods of time 
  • Must be a problem solver, multi-tasker, and a positive thinker 
  • Careful attention to detail 
  • Bookkeeping skills are not required, but BIG bonus points if you have them
